Summary:
In this full-time role, you’ll manage the Visitor Center, greet and assist visitors, answer questions, oversee merchandise sales, and ensure each guest feels inspired to Discover What’s in You. You’ll also play a vital role in supporting group travelers, sports teams, and convention planners, coordinating logistics, gathering hotel pick-up data, and consolidating key insights. Beyond in-person interactions, you’ll oversee visitor platforms on VisitTri-Cities.com, manage hotel reservations, update the community calendar of events, and actively engage in recruiting and retaining community partners and sponsors.
- Manages daily operation of the Visitor Center, it’s upkeep and maintenance
- Greets and provides service to clients and visitors
- Handles all inquiries (email, phone and walk-in) and manages related platforms and tracks engagement
- Processes requests for information including fulfillment and tracking
- Maintains orderliness of reception area and conference room.
- Performs general clerical activities as needed, including bulk mailings and shipping
- All duties as assigned
- Manages inventory and monitors quality and connectivity of remote visitor kiosks
- Acts as a liaison between planner and service members; offers suggestions and assistance and planning for entertainment, tours, shopping, spouse and children’s programs and other attractions; solicits, collects, and files information for speaker/entertainment files.
- Handles all housing operations including inputting housing data, tracking inventory, running housing reports, keeping files of housing operations and continuing on-going communications with the hotel DOS/ reservation personnel.
- Manages the VisitTri-Cities.com online reservation programs for individual travel and community events page
Issues hotel room block commitment forms when necessary and tracks the return of the forms with all appropriate signatures.
- Keep records of pick-ups of all room blocks as well as the post-convention (actual) pick-up numbers.
Manages and directs the “Hot Dates” program to provide service to individual travelers and displaced guests, and reports on the program at the Directors of Sales meetings.
- Establishes contact with sports & convention planners who are scheduled to bring groups into the area; maintains routine written, telephone and personal contact with the clients.
- Actively supports the recruitment and retention of community partners and sponsors
- Provides support for VTC’s programs such as the Excellence in Service Award and the Annual Meeting
- Develops and coordinates visitor education with hotel and tourism partners
- Responsible for coordinating the VTC’s participation at tradeshows which includes submitting registrations, organizing collateral and prize giveaways, scheduling booth and event set-up, coordinating staffing, confirming travel arrangements.
- Adept at relationship building, relationship management, customer service and working with the public in positive and optimistic manner

- Clear and effective communication skills, both written and verbal
- Emotional intelligence and people skills
- Tech saavy ingenuity
- Good organizational skills; detail-oriented
- Knowledge of the convention/tourism industries preferred
- Experience using a CRM, operating standard office equipment and managing multi-line phone system
- Proficient in the use of Microsoft Office suite of products and quick adaptability to new platforms including the use of website CMS
- Some evening and weekend shifts, ability to lift 50 lbs
- Salary Range: $47,000-$55,000 – candidates are hired based on qualifications, capabilities, and aptitude
